This Privacy Policy explains how Kleora Diamond (“Kleora”, “we”, “us” and “our”) handles personal information when you browse our website, use the Ring Builder, save jewellery, request a custom design, contact our team or place an order. It also explains the choices available to you. For questions or privacy requests, email support@kleoradiamond.com.
Please read this policy alongside our Terms & Conditions. The information we need depends on the service you use; browsing does not require you to create an account.
1. Who this policy covers
This policy covers information handled through Kleora’s storefront, customer accounts, shopping bag, checkout, Ring Builder, wishlist, consultation and custom-order forms, customer support and related order services. Payment providers, delivery companies, grading laboratories and other independent services may also handle information under their own privacy notices.
2. Information we collect
- Contact and account information: your name, email address, telephone number, account details and billing or delivery address when you supply them.
- Orders and aftercare: items purchased, diamond references, metal, ring size, engraving, order value, payment status, delivery instructions, tracking information, returns, repairs and related correspondence.
- Custom-design enquiries: jewellery preferences, budget, desired dates, measurements, reference links, sketches, photographs, uploaded files, notes and your preferred contact method.
- Support and feedback: messages sent by email, forms or live chat, along with the information needed to investigate and answer your request.
- Shopping preferences: selected diamonds and settings, saved creations, search filters, display preferences and items added to your bag.
- Technical and usage information: IP address, browser and device information, request and security logs, session identifiers and shopping activity. Ring Builder usage records identify stages such as starting a build, choosing both components and adding or ordering a ring.
Please provide only information relevant to your request. We do not need medical information, identity-document copies, card security codes or account passwords in enquiry forms, engraving fields, reference uploads or chat messages.
3. Where information comes from
We receive information directly from you when you submit a form, create an account, place an order or contact us. Some technical and shopping information is generated when your browser interacts with the website. Payment and delivery providers may supply transaction confirmations, fraud or verification results, delivery status and information about refunds or disputes.
If you arrange delivery to another person, or provide someone else’s details in a design request, share only what is necessary and make sure you are entitled to provide it.
4. How we use information
- Operate accounts, remember your shopping selections and display the ring configuration you have chosen.
- Prepare quotations and design proposals, discuss customisation and obtain approvals.
- Process and fulfil orders, communicate about inventory or price discrepancies and arrange delivery.
- Provide order confirmations, service messages, tracking, returns, resizing, repairs and warranty support.
- Verify payment status, prevent misuse and investigate fraud, security incidents or disputes.
- Understand use of the Ring Builder, troubleshoot failures and improve the shopping experience.
- Maintain records needed for accounting, tax, legal obligations and the establishment or defence of legal claims.
- Send marketing communications when you have requested them or another lawful basis permits them.
5. Reasons for processing
Where applicable privacy law requires a lawful basis, processing may be necessary to take steps you request before a purchase or perform an order contract; meet legal obligations; pursue legitimate business interests such as security, customer support and proportionate service improvement; or act on your consent. The relevant basis depends on the information, purpose and law that applies. Where we rely on consent, you may withdraw it for future processing without affecting processing that was lawful before withdrawal.
6. Payments and fraud prevention
Payment details are handled by the payment method or provider presented at checkout. We receive information needed to manage the transaction, such as its reference, amount, status and, where supplied, limited payment-method details. Your provider may separately process billing information, verification results and device information under its own terms and privacy notice.
Do not send full card numbers, card security codes, passwords or one-time authentication codes to Kleora through email, chat or uploads. If additional verification is needed, use the secure method identified by the payment provider or contact us to confirm the request.
7. Cookies, saved builds and browser storage
The storefront uses cookies and similar browser storage to support accounts, shopping sessions, the bag and saved preferences. A cookie is a small value stored by your browser; local or session storage can remember preferences without using a cookie.
- Shopping and account sessions: remember your bag and support sign-in, request verification and checkout. Their duration depends on the session and account settings.
- Ring Builder recovery: a signed cookie connects your browser to the current saved build. Its recovery window is approximately two days. Resetting a build removes its active selections; it does not delete an order or an item already in your bag.
- Wishlist and view preferences: saved creations and some display settings may be stored in your browser. Local storage can remain until you clear it; session storage normally lasts for the browser session. Account-linked saved items may also be stored on our website.
- Service resources: externally hosted fonts, live chat and other embedded resources can receive technical information when loaded. Some resources load when you open a page, even if you do not open the chat.
You can review, block or delete cookies and site storage through your browser settings. Clearing storage can remove saved creations and selections; blocking shopping-session cookies can prevent the bag, sign-in or checkout from working correctly. Browser controls do not delete order or account records already held by us. For a privacy question about a particular embedded service, contact us; you can also use email instead of live chat.
8. Service providers and sharing
Information relevant to a service may be shared with the providers needed to operate it, including:
- Website hosting, storage, email delivery, maintenance and security providers.
- Payment processors, payment-method providers and fraud-prevention services.
- Jewellery production and fulfilment partners, to the extent needed for an approved order or design.
- Couriers and shipping services, including recipient contact details, address and necessary delivery information.
- Customer-support services, including Chatway for website chat, and Google Fonts for externally delivered typefaces.
- Professional advisers or public authorities where disclosure is legally required or necessary to protect rights, investigate misuse or resolve a claim.
If the business is reorganised, transferred or acquired, relevant records may be disclosed as part of that process, subject to applicable privacy requirements. We do not require you to share enquiry or order details publicly to receive customer support.
9. Communications and marketing choices
We use the contact details you provide to answer enquiries and communicate about designs, orders, payment, delivery and aftercare. These service messages are separate from promotional updates. If you receive promotional email, use its unsubscribe instructions or email us to request that it stop. Opting out of marketing does not stop messages needed to administer a current order or respond to a request.
Tell us your preferred contact method when requesting a consultation. Avoid sending information you would not want visible to others who can access a shared email address, telephone or device.
10. How long information is kept
Retention depends on why the information was collected. Order, payment, tax and accounting records may need to remain after an account is closed. Design correspondence, approvals and aftercare records may be kept while needed to complete the service, handle a warranty request or resolve a dispute. Security logs and backups have separate operational retention periods.
Ring Builder recovery records normally expire after approximately two days without an update. Builder usage events are scheduled for cleanup after 180 days. Browser-stored wishlist items remain subject to your browser controls. These periods do not determine how long completed order records must be kept.
When information is no longer needed for its purpose or a legal requirement, it should be deleted or anonymised. Backup copies may remain until their normal replacement cycle. Contact us for information about the retention applicable to your records.
11. Security and reference uploads
We use website access controls, secure connections where available and other measures intended to protect information from unauthorised access or misuse. No website, email system or storage method can guarantee absolute security. Keep your account credentials private, use a strong password and contact us promptly if you suspect misuse.
Reference files are stored as website media and may have shareable file URLs. Treat a file link as something that could be accessed by a person who receives it. Upload jewellery references rather than identity documents, financial records or private photographs unrelated to your design. Remove unnecessary personal details from images and documents before uploading. Contact us if you need an uploaded reference removed or require a different way to share a sensitive design.
12. International processing
Our website, service providers, production partners and delivery services may process information in countries other than the country where you live. Those countries may have different privacy laws. The protections and transfer arrangements required depend on the applicable law and provider. Contact us to ask where information relevant to your order or enquiry is processed and what safeguards apply.
13. Your rights and requests
Depending on the law that applies to you, you may have rights to request access to your personal information, correct it, request deletion, restrict or object to processing, receive certain information in a portable format, withdraw consent or complain to a relevant privacy authority. These rights may have conditions or exceptions, including where we must retain records or protect another person’s information.
Email support@kleoradiamond.com with the subject “Privacy request”, explain what you are requesting and identify the email address or order reference involved. We may ask for proportionate information to verify your identity or authority. Do not send identity documents unless we explain why they are necessary and arrange an appropriate method.
We will respond within the timeframe required by applicable law and explain any lawful limitation or need for further information. You may also raise a concern with your local privacy or data-protection authority. Closing an account or resetting a build does not automatically erase records needed for an order, refund, legal obligation or dispute.
14. Children and information about other people
The storefront and purchasing services are intended for adults, and are not directed at children. A person under the legal age to enter a purchase contract should use the service only with an authorised parent or guardian. If you believe a child has supplied personal information without appropriate authority, contact us so that we can investigate and take appropriate action.
15. External websites and services
Links to diamond grading reports, social media, payment services or other external websites lead to services we do not operate. When you follow those links or interact with their content, their own privacy notices and settings apply. Review them before supplying information. The appearance of a link does not mean that every external privacy practice is endorsed by Kleora.
16. Changes and contact details
We may update this policy when our services, processing practices or legal requirements change. The date at the top identifies the current version. Where a change requires further notice or consent, the applicable requirements must be followed; publishing an update does not replace consent where it is required.
For privacy questions, requests or concerns, contact Kleora Diamond at support@kleoradiamond.com or visit our Contact Us page.
